Understanding Admins and Users

User Types in FileEazy

There are two types of users in FileEazy.

Regular Users: Paid, licensed users active within your organization. Can be added to boards with full editing access. Enterprise Admins can fully manage these members’ permissions.

Free Users: Unlicensed users at your organization. Free Users are similar to Observers in a way that they are only able to view documents, records and workflows and tasks in the Workspace but will not be able to edit, comment or chat. Free Users will not appear in the list of users when you try to tag them using the ‘@’ mark or try to assign specific permissions to a document, record, workflow or task. Different Role privileges can be assigned to Regular Users. See Admin section below.

Observers: Paid, licensed users at your organization. Observers are typically Regular Users who will have access to all Workspaces with Organization permission and also the Private Workspaces they are invited to. They are able to view and comment on a Workspace, document, record, workflow or task they have been added to as an Observer but are not able to add, edit or delete anything or change the settings. Observers will appear in the list of users when you try to tag them using the ‘@’ mark or try to assign specific permissions to a document, record, workflow or task. A user’s Role permission will override the Observer permission. In other words, if a licensed user has Edit permission in a Workspace and if that user is added as an Observer to a Workspace or workflow, the Edit permission will take precedence over Observer permission.

Aministrators in FileEazy

There are four types of Admins in FileEazy.

Super Admin: Oversee the entire settings, user roles and permissions of the whole organization. Super Admins will have add, edit and delete permissions on all data of the organization including adding and deleting another Super Admin.

IMPORTANT: Only Super Admins with Ownership role can view, edit or delete documents records and workflows. By default, Super Admins will have Ownership role assigned to them.

Branch Admin: Oversee the entire settings, user roles and permissions of a branch of your organization. Branch Admins will have add, edit delete permissions on all data of the branch including adding and deleting another Branch Admin.

IMPORTANT: Only Branch Admins with Ownership role can view, edit or delete documents records and workflows. By default, Branch Admins will have Ownership role assigned to them.

Department Admin: Oversee the user roles and permissions of users assigned to a Department of the organization. Department Admins will have add, edit delete permissions on all data under that Department. Only a Branch Admin can assign the role of Department Admin to a Regular User of that branch.

Workspace Admin: A Workspace Admin manages settings for a specific Workspace. (such as all the documents belonging to the Engineering team, or all the documents, records belonging to the HR team). Workspace Admins will have add, edit delete permissions on all data under that Workspace including deleting another Workspace Admin. A user who creates a Workspace will be automatically assigned the role of Admin of that Workspace.

IMPORTANT: Respective admins will have the privileges to update the settings of the organization, branch, department or workspace and add or remove users under their authority.
