What is a Document Type?

Document Types serve the purpose of identifying, classifying, and categorizing the various documents that are added to the system. This classification facilitates faster document retrieval by utilizing the indexing information associated with each document through its Document Type.

Below are a few examples of Document Types and its index fields…

Contracts: Contract Number, Parties Involved, Effective Date, Expiration Date, Terms and Conditions.

Invoices: Invoice Number, Client Name, Billing Date, Due Date, Total Amount.

Reports: Report Title, Author, Date Created, Subject/Topic, Summary/Abstract.

Proposals: Proposal Title, Client Name, Proposal Date, Scope of Work, Pricing Details.

      Quotations: Quotation Number, Customer Information, Item Description, Unit Price, and Total Price

    1. Alphanumeric - This field type allows you to enter a combination of letters and numbers, providing flexibility for naming, labeling, or describing documents.
    2. Number - Number fields are suitable for capturing numerical data, such as invoice numbers, customer IDs, or any numeric references associated with documents.
    3. Date - Date fields enable you to specify or record specific dates, which can be crucial for document management tasks like tracking creation dates, due dates, or effective dates.
    4. Picklist - Picklist fields provide predefined options or choices that users can select from, ensuring consistency and accuracy when categorizing or classifying documents.
    5. Yes/No - Yes/No fields, also known as boolean fields can be useful for flagging or categorizing documents based on a simple criteria.
